Your research data is valuable to yourself and to others. That's why it's important to carefully think about appropriate solutions for storing your data during your research project. This could save you (and others) a lot of time in finding your data and prevent losing your data. The WUR data policy also requires you to store your data on a secure and shareable storage solution. In this section we list the research data storage solutions provided by WUR and managed by the IT department.
The best solution for storing your data during a research project depends on several factors:
- Data classification (negligible, some, serious, disruptive)
- Data sharing requirements
- Internal and/or external collaborations
- Offline vs online working
Secure research data storage solution managed by the IT department at WUR and in compliance with the WUR data policy:
- Personal folder (M:-drive)
Every account has a personal folder (default size: 50 GB) which is only accessible to the account holder. You can access your personal folder outside of the WUR network via MyWorkspace or VPN.
Note: upon termination of your WUR account, all files in the personal folder are automatically deleted. Therefore WUR policy on research data storage stipulates that research data in a personal folder (M:-drive) should also be stored in a department or project folder (W:-drive) or on a Team site (see below).
- Department or project folder (W:-drive)
Every WUR account holder can create a folder on the W:-drive by sending a request to the IT Service Desk. Access to an existing departmental and/or project folder can be obtained from the owner or the contact person of this folder. If you do not know who the owner or contact person of a folder is, the IT Service Desk can easily find this out for you. You can access your folder outside of the WUR network via MyWorkspace or VPN.
Note, the W:-drive is an ideal location to back up research data from your personal folder (M:-drive). This guarantees continuity of access to research data in the event that your personal folder is deleted (due to change of job, etc.), complying with WUR policy for storage of research data.
- Massive Storage (W:-drive)
Massive Storage is the cheapest option for storing large amounts (>1000 GB) of data. This option is ideally suited to store reproducible, static data, for which large-scale storage is more important than speed. The files are, like department or project folders, presented in a folder structure (W:-drive).
Yoda is a research data management service that enables you and your research partners to securely deposit, share, publish and preserve large amounts of research data during all stages of a research project. It allows you to store data in a simple filing structure like that on the W:-drive or Onedrive, while also allowing more detailed metadata and sharing management to help with achieving your FAIR goals. - Microsoft Teams
Teams is a unified communication and collaboration platform that combines chat, video meetings and file storage (including collaboration on files). You can easily invite other users (internal or external) to participate on your Team.
There are two ways to access and use Teams:
1. Access Teams from the web browser on any device via https://portal.office.com;
2. Use Teams locally and download it form the WUR Software Center.
- Team sites
Team sites are online-based platforms where you can share and edit data files for internal and external collaboration. The standard size is 10 GB. A team site is accessible from any location and includes an array of advanced features, including version management, discussion fora, a central agenda etc. You can easily invite other users to participate on your team site. To create a team site go to IT support. Wageningen University & Research employees can request access for those without a WUR account by requesting an external guest-account.
Note: a team site can be used to back up research data from your personal folder (M:-drive). This guarantees continuity of access to research data in the event that your personal folder is deleted (due to change of job, etc.), complying with the WUR policy on storage of research data.
- OneDrive for Business
OneDrive for Business is a personal cloud service, with a storage capacity of 1000 GB for each WUR account holder. With OneDrive for Business you can access your files from anywhere and from multiple devices. It is also possible to give others access to files.
Note, upon termination of your WUR account, all files on OneDrive for Business are automatically deleted. Therefore WUR policy on research data storage stipulates that research data in a personal folder (OneDrive, M:-drive) should also be stored in a department or project folder (W:-drive) or on a Team Site.
For all managed data storage solutions the following applies:
You can extend your storage capacity up to many TB.
- Fully serviced
Installation, maintenance and support are done by the IT department.
The personal, project or department storage solutions (M: and W:-drive) are highly reliable, available and secure because the data is stored in two separate data centers and automatically backed-up. Also the equipment is fail-safe.
Note: if you use other storage solutions, make sure that the backup of your research data is as independent as possible from the main storage. Regularly back up your files and as soon as possible.
