Are you the proactive, enthusiastic secretary who will support our team? Do you get energy from organizing things down to the smallest detail, and do you enjoy working in a dynamic environment? If so, we are looking for you! We currently have a vacancy for a Management Assistant for 28 hours per week.

Who Are We?
This position is part of the Bioprocess Engineering (BPE) chair group. It is a dynamic, international team consisting of a chairholder/professor, three special professors, four associate professors, four assistant professors, several postdocs, eight technical and laboratory assistants, two administrative assistants, and around 50 PhD students and research staff. The working language is predominantly English.
You will become part of an enthusiastic team and, in collaboration with the management assistant, you will be responsible for the administrative support of the entire chair group.

Your tasks include:

  • supporting the professors of the chair group (agenda and email management, organizing travel, and handling reimbursements);
  • overseeing and managing the department’s facilities;
  • organizing and taking minutes of meetings and following up on actions;
  • being the key contact person for HR matters, the PhD office, and research schools;
  • supporting staff and students (with questions about leave, absences, reimbursements, registrations, and other administrative tasks);
  • handling purchase orders, meeting arrangements, room bookings, office supplies, and international travel arrangements;
  • registering publications and preparing publication lists;
  • coordinating the onboarding and orientation of new colleagues;
  • monitoring time registration and ensuring completeness;
  • administrative tasks related to education.

Your qualities

You are an enthusiastic team player. You can easily maintain an overview, are communicatively strong in both English and Dutch, socially skilled, and can quickly switch between tasks. You quickly familiarize yourself with various applications and often need just half a word to understand what’s needed. Supporting others comes naturally to you. You enjoy contributing ideas to optimize work processes and assisting in organizing team activities.

Your Knowledge:

  • MBO+ level of education or higher;
  • work experience in a similar role is a plus but not mandatory;
  • proficient in Dutch and English or willing to learn;
  • extensive experience with MS Office;
  • ability to quickly learn and adapt to various administrative software systems.

Initially, we offer a one-year contract, with the intention to convert it into a permanent position upon satisfactory performance.
