Apply for an Erasmus+ grant for study

You can apply for an Erasmus+ grant for study after we have selected you for an exchange period at one of the partner universities.

Deadline to submit the Erasmus+ Grant Agreement:
For exchange during the first semester: June 1st
For exchange during the second semester: November 1st

Information sessions Fall 2022

We will organise two information sessions about the Erasmus+ grant procedures and requirements. If you need help filling in the forms, or have questions about your exchange, please attend one of these sessions instead of sending us an e-mail (no registration needed):

Forms for application Erasmus+ grant

1. Grant Agreement (GA)

  • The Grant Agreement has to be signed by the student only. Administrators sign the document after application is completed.

  • The Grant Agreement has to be handed in before the deadline.

  • Save your document as: GA [Lastname]

  • E-mail it to the exchange administrators:

You can look up the ISCED CODES in the list. If you cannot find your study in the list, chose the code of the study closest to your study field.


2. Online Learning Agreement (OLA)

This is a contract that must be signed by the student, the home university (= WUR Exchange Coordinator) and receiving university (= university where you are going to study). Please note that students going to a non-EU country cannot use the Online Learning Agreement (OLA) but need to use the Word format of the Learning Agreement (LA).

How to prepare and approve your OLA

1. Prepare your OLA after you have chosen your courses at the receiving university.

2. Create your OLA account on this site (the browser must be Chrome or Firefox): Create Online Learning Agreement  

3. Create and fill in your OLA and finally sign it online (digitally by pointer/mouse). If necessary, you will find instructions in a PowerPoint here.

4. Your WUR Exchange Coordinator will automatically receive a notification by e-mail to sign your OLA once you have signed it.

5. Your receiving university will automatically receive a notification by e-mail to sign your OLA once your WUR Exchange Coordinator has signed it.

6. Once the receiving university has signed it, your OLA is complete.

7. You can now download your fully singed OLA in a pdf format

8. Save your document as: OLA [Last name]

9. E-mail it to the exchange administrators:

The Online Learning Agreement needs to be handed in as soon as possible but no later than the start of your exchange period. As it sometimes takes some time and effort to get your Online Learning Agreement signed by all parties, we are a bit more flexible with the deadline of this document.

3. OLS (Online Linguistic Support)

You have to complete an OLS Placement Test. The test is compulsory, even if you already took another language test. Only if the main language of instruction at your host institution is your mother tongue, you do not have to complete and hand in the OLS Placement Test.

The OLS platform is accessible at EU Academy ( We made this guide to help you create an account, log-in and make your OLS test. The platform also provides access to other language tests and courses for you to choose from.

After taking the test, take a screenshot of this page showcasing your result and your name. Save it as OLS Results [surname] and send it (with as subject: OLS response ’internship or study’ ‘your name’) to

Important notes

  • Please make sure you hand in the full document and not only the pages you signed or filled!
  • Please fill out all forms on a computer. Handwritten forms cannot be accepted.
  • Make sure the contracts are complete (so we can see what you signed when opening your file). The printers at WUR can scan several pages to one PDF, see instructions at the printers. You can also use digital signs.
  • Every document in a single file (so do not paste the Grant Agreement and Learning Agreement together).
  • If you hand in your application after the deadlines for the Erasmus grant you will be added to our waiting list. Applications handed in after the start of your exchange will not be accepted at all and you will not have an Erasmus+ status (which means you have to pay tuition fees).


    If your stay exceeds more than 5 days in duration compared to the original duration mentioned on your signed grant agreement, you need to file for an extension period. Please go to Extension period abroad for more information.

    Upon return

    You also have to hand in documents after you returned from your study exchange. You can find these compulsory documents at Upon Return Exchange Study.
