Privacy statement - How does WUR process my application details?

We appreciate your interest in Wageningen University & Research (WUR) as a potential employer. We believe it is important that you have a clear understanding of who we are and how we operate.

As an organization, we aim to be not only an attractive but also a reliable and transparent employer. This includes handling your personal data with care and explaining how we do so. In this privacy statement, we explain how we process your data during the recruitment process, why we do so, and what rights you have.

What information does WUR require for my application?

During your application, you will only share the personal data necessary to assess your suitability and to contact you. This concerns data that is directly relevant to the position.

This includes information such as:

  • Name and initials
  • Contact details (telephone number, email address, place of residence)
  • Motivation or cover letter
  • Work experience and list of qualifications and certificates obtained
  • Skills, knowledge and competencies
  • Portfolio, LinkedIn or website (optional)

This is information that enables us at WUR to assess whether you fit the profile for the position.

What not to share

You do not need to share any information that is not necessary for the application. We are also not allowed to ask for this during an application.

This includes:

  • Gender
  • National insurance number
  • Copy of ID
  • Bank account number
  • Health information
  • Marital status or family situation
  • Religion or political preference
  • Sexual orientation

Who is responsible for processing your data?

Wageningen University & Research (WUR) is responsible for the careful and proper processing of your personal data, in accordance with applicable privacy laws, including the General Data Protection Regulation (GDPR). In addition, WUR adheres to the NVP Recruitment Code and its own recruitment and selection policy.

To whom does this privacy statement apply?

This privacy statement applies to the processing of personal data of applicants and potential candidates participating in WUR’s recruitment and selection process.

For what purposes and on what legal basis do we use your data?

When you apply for a vacancy or create an account in our candidate portal, WUR processes your data to ensure the recruitment process runs smoothly. 

With your consent, we use your data for the following purposes:

  • Recruitment and selection: to assess your suitability for a position and to maintain contact about the procedure.
  • Job alerts: if you sign up for job alerts, you will receive messages about new and suitable positions.
  • Future applications: only if you give your consent, we will retain your data for up to one year after the recruitment process has ended.
  • Communication: to handle questions, requests, or complaints carefully. 

What data do we process?

When applying, we process the following types of data:

  • Your first and last name and contact details (email address, phone number).
  • Your curriculum vitae and cover letter.
  • Information on how long we may retain your data (four weeks or twelve months).
  • Other data you provide yourself.

When you create an account in our candidate portal, we also ask for a password to secure your personal page.

Screening or employment investigation

For some positions, a screening or assessment is part of the hiring procedure. A screening may include:

  • a reference check;
  • a diploma verification;
  • a Certificate of Conduct (VOG) request.

With whom do we share your data?

Within WUR, your data is shared only with individuals involved in the recruitment process, such as:

  • members of the selection committee;
  • managers and HR staff.

WUR handles your data carefully and processes it only in accordance with the GDPR and other applicable laws and regulations.

How long do we keep your data?

WUR retains your data for four weeks after the recruitment process has ended, unless you have given consent for it to be stored for up to one year for future vacancies. You can view, modify, or delete your data at any time via your personal page in the candidate portal.

Security and confidentiality

We take appropriate technical and organizational measures to protect your personal data from loss, misuse, or unauthorized access. Only employees involved in the selection process have access to the systems in which your data is processed. They are bound by confidentiality obligations.

Your privacy rights

You have several privacy rights:

  • Right of access: you can view the personal data WUR processes about you.
  • Right to rectification: you can request correction or completion of your data.
  • Right to erasure: you can request deletion of your data, for example, if you withdraw your consent.
  • Right to restriction of processing: you can request a temporary restriction of processing.
  • Right to object: you can object to processing based on legitimate interest.
  • Right to clear information: WUR will inform you transparently about how your data is used.
  • Right to withdraw consent: you can withdraw your consent at any time without affecting prior processing activities.
