Intro

Before a PhD candidate can start the PhD project, the project must be registered in Hora Finita by the Graduate School. Once registered, the candidate can upload personal information and required documents. After completion, the registration is submitted to the Doctoral Service Centre for assessment.

PhD admission timelines vary depending on the degree group and may be extended in case of an incomplete file or if admission requirements are not met. For many non-European master’s degrees, a credential evaluation by NUFFIC - the Dutch organisation for internationalisation in education - is required, which may also affect processing times.

Diploma documents

To upload your documents in Hora Finita, please prepare the following PDFs:

  • Bachelor’s degree (if required): one combined PDF containing the official diploma and transcript, including English translations if applicable.
  • Master’s degree: one combined PDF containing the official diploma and transcript, including English translations if applicable.

If the total file size exceeds 10 MB, please reduce the size of the scans before uploading. 

Passport

Your passport must be valid for at least three months beyond the date of submission in Hora Finita. We recommend certifying the scanned copy with the date, purpose, and name of the organization requesting it. Please ensure that the certification text does not cover any text or photos in the passport.

Certificate of proficiency in the English language 

Please first check on our Admission requirements page whether you need to submit an internationally recognized certificate of English language proficiency.

If a certificate is required please note the following:

  • The list of accepted tests and minimum score requirements are reviewed and updated once per year. New requirements are published on this page on 1 October.
  • To avoid unexpected changes, the previous year’s requirements will remain valid alongside the new requirements for PhD projects starting before 1 October of the following year.

Test scores must be achieved in one single test session. Results from IELTS, TOEFL en PTE expire after 24 months. Your test must therefore be taken within 24 months before the official start date of your PhD project.

You can find detailed information about the different tests on the official websites of TOEFL, IELTS, PTE, LanguageCert and Cambridge. You can also register for a test directly through these websites.

We advise booking your test well in advance, as test sessions fill up quickly and results may take time to be released.
